4-005: Board Letter Format

Purpose

This policy sets forth a standard format for Board Letters on agenda items to ensure they are concise, comprehensive and ADA compliant.

Scope

This policy is applicable to all County departments that submit agenda items to the Board of Supervisors.

Policy

All agenda material, including but not limited to board letters, resolutions, ordinances PowerPoints, contracts, agreements and maps shall be in Verdana 12-point font.

All agenda material uploaded into the OnBase agenda management system must meet the WCAG 2.1, Level AA, accessibility compliance. 

Departments placing items on the agenda are responsible for ensuring all agenda material meet the WCAG 2.1, Level AA accessibility standard or that an Undue Burden / Financial Hardship Exception Statement has been completed. 

WCAG 2.1 compliant agenda material templates are attached and must be utilized for the creation of agenda material. Care must be taken to ensure compliance is not lost while updating the templates for an agenda.

Completed templates must be saved as PDF documents before uploading into OnBase.
